Getting Started

How do I sign the MOU to join BCeSIS?

BCeSIS iGroup Security
1. When can I get a password for BCeSIS?
Your school will be given access to BCeSIS once somebody from your school has received training for BCeSIS. BCeSIS is a provincial wide system and one user can have effects on other schools/users. BCeSIS is a powerful and large system and as such training is a requirement before use.
2. I don't have or have forgotten my password for BCeSIS?
The BCeSIS iGroup has developed the Security Center in order to manage all the passwords and usernames related to BCeSIS. In the Security Center schools are able to request addition or deletion of password and lookup passwords for BCeSIS, SDTEST and Helpdesk.
3. But I don't have a password for the Security Center?
Go to the Security Center and click on "forgot password", select your school and click "Select". You will be emailed your password and username for the security center. If you do not receive an email please contact the primary security contact for your school. If you are the primary security contact, then please send an email to security@bcesisigroup.ca or post the problem on the Helpdesk.
BCeSIS iGroup Fee
1. What is the fee for? What does the fee cover?
According to the MOU signed by all the independent schools there is a provision that requires the independent schools to share the costs of "district level" services. These services include BCeSIS training, Level 1 helpdesk services, security management, and a iGroup project manager to handle district level configuration and implementation planning. This fee is seperate from the $10/student BCeSIS, which is for using BCeSIS.
2. How much is the fee? When is it due?
The fee is $4.50 for all regular students, and $1.50 for all homeschool students. This information is based on the headcount from your 1701. The fee is due 30th of November each year.
3. Is this fee due every year?
Yes this fee is levied as long as you continue to use BCeSIS. This is to provide for ongoing helpdesk support, and training for any new modules that are introduced into BCeSIS.
4. I'm not implementing now do I have to pay now?
Yes, this fee is used to pay for the startup costs of the iGroup. If you wait to pay your fee, you will not see the same reduction of fees in the future compared to schools that pay now. (ie. schools that wait until all the expensive startup costs have been paid for and the fees have been reduced, will not be entitled to the reduced fees, they will still pay the full fee)
Implementation
1. When can I start using BCeSIS?
Starting the use of BCeSIS is based on two major factors, training and school setup. You school first needs to receive training by the iGroup before you can start using BCeSIS. If you would like to request training please contact Andrew Smit (andrewsmit@bcesisigroup.ca). Once you have received your training you will need to finish entering your data into BCeSIS and setting up your schools courses and teacher, etc. This needs to be done before your staff can use the system.

3. What is the Database for SDTEST or Production?
For SDTEST type in SDTEST as the Database.
For Production type in BCESIS as the Database.
Training
1. When and where is training for the iGroup?
Training is provided one-on-one to schools and as such the best is to contact us and we will find some dates in our schedule to provide training to your school. Training is typically 2-3 days for 2-3 of your staff and it is done in Coquiltam, BC
2. What if I need more training than is provided by the iGroup?
Additional training will be available for schools that wish to get training over and beyond what is provided by the iGroup. It will be at an cost per use. The cost will be $300 per week and and only made available once schools who have yet to recieve training have been given the opportunity to schedule training.
3. What about training for people not part of a school (ie. central offices)
At the moment the iGroup Executive has decide to not allow ourside users to receive training due to the limited space we have for training for the schools. Furthermore individual schools will have to give permission to central office to access the data (this is because the actual agreement is between the individual schools and BCeSIS and we can only give access to data that schools have specified.)
4. My staff member who was trained has left the school, what now?
Staff turnover is a risk that schools need to understand and plan for. In the case that your staff does leave, arrangements will be made to get your new staff trained, however schools that have not been trained before will have priority over your school. There is a cost of $350 / day and it typically requires 2 days of training. If your school has not began using BCeSIS in production the iGroup may request your school to delay implementation.
BCeSIS Voting Process.
1. I have been asked to vote on matters concerning BCeSIS, I don't know what to do?
Schools have two options when asked to vote. Firstly the individual school can vote for themselves on the issues. The second option that schools have is to setup a proxy vote, this can be done by selecting somebody on the iGroup Exec to act on the schools behalf. More information as to how to setup this proxy is coming soon.
Intergrated Services Website (ISW)
1. What is the ISW?
The ISW is a website managed by the BCeSIS provincial team and is the primary way to access BCeSIS and information about BCeSIS application.
2. What is the website address of the ISW?

3. How can I get access to other parts of the ISW?
At the moment access to the other parts of the ISW is limited to the the iGroup Project Manager. We are looking at ways of getting more access to independent schools in the near future.

1. How can I make the BCeSIS iGroup easier to find on Google.
You can add a link to www.bcesisigroup.ca on your schools website. This will increase our page rank, and therefore put our information higher in the results for Google.
